      <title>The Virtual Box Office</title>

        <p>The release of TicketstotheCity Version 3.0 brought the addition of our Virtual Box Office (VBO). Now you can now take orders from phone-in and walk-up customers to supplement your current online offerings. The VBO is structured to make purchases easy for your staff, and this article will help introduce you to the features and operation of our newest module.

The VBO allows any user of your account (main and basic) to process sales using a new interface integrated into the TTC account backend:

The VBO&#8217;s interface is comprised of the following areas, the main window:

To get started simply click on one of the three options in the main window: Events Packages or Donations (<b>tip:</b> the number in the box signifies how many active items are available for each option). For our example today we&#8217;ll choose the only available option (see the main window image above) and select Events. Next, you&#8217;ll be shown a list of current active events for your account:

To choose an event simply click on the Select button. Since we&#8217;re viewing events this will show us a list of available dates (note that the number of available dates is also visible in the events list, see image above):

At this point I’d like to point out a feature unique to the Virtual Box Office.&nbsp; Unlike online ticket sales, which end prior to your scheduled curtain time, sales through the VBO may be processed up to an hour after your event begins.&nbsp; This will allow your staff to keep selling tickets in case of a delayed start time, or a rush ticket purchase.

Just as in the events list to select an available date click on the Select button. This will bring up the purchase form where you can select the number of tickets or a specific seat(s) your customer is requesting (in the example below this is a reserved seating venue):

Simply choose the seating and click Add to Order to place the seats into your shopping cart:

Note that the total amount of this order is updated and displayed in the orange TOTAL box above the shopping cart. As you continue to add items to the order they will be displayed in the cart. To see the cost of an individual item simply move your mouse over the seat information (quantity or the seat label, A5-2 in the example below) and the price will pop-up:

When you are ready to complete the order click on the checkout link in the shopping cart; the checkout form will be displayed. You can update the order by adjusting the cart items in step one and clicking on Update Order, or proceed to entering the customer&#8217;s billing information (more on that after the screenshot of the checkout form). Note that unlike the online checkout form, the VBO allows you to enter a discount amount:

The VBO will accept cash, check, VISA, MasterCard, American Express or Discover. Note that if you choose a credit card as method of payment your check from TicketstotheCity will be for the purchase price minus the credit card fees; there are no service charges added for using the VBO, and all cash/check sales should be handled by your staff and have the added bonus of being fee-free (that&#8217;s right - we don&#8217;t charge a penny to use the VBO if your customer pays by cash or check).
</p>

Once the transaction is complete you will be shown an invoice. At this time you can choose to print the receipt or start over with a new sale:

If you are worried about the cost of printing receipts (either environmental or hard costs) then don&#8217;t worry, as your customer will be emailed a copy on completion of the sale.

      <title>Improved Service Charges</title>

        <p>Tonight we rolled over the system to make use of the new service charge structure. In the past the charges were one dollar plus any credit card fees, with the exception of packages which had a flat 10% fee. As of tonight the new fee structure is as follows:
</p>

<li>All tickets $10.99 and under have a flat $1 service fee.</li>
<li>All tickets $11 - $22.99 are charged $0.75 + credit card fees.</li>
<li>All tickets $23 and greater are charged $1.00 + credit card fees.</li>
</ul>

And now for even more good news&#8230; this new structure applies not only to single tickets, but to all packages as well!

      <title>Internet Explorer 8 and Reports</title>

        <p>Seems there is an issue with the new version of Internet Explorer 8 and the software we use to run reports. Its ironic because the software we use to create Excel documents was chosen because it was the only one that worked with other browsers (non IE) and was Microsoft certified. Guess Microsoft changed how it accesses Excel files in the browser. We&#8217;re looking into this and will report back once we have it corrected.
</p>

In the meantime, reporting works in all other browsers, including our house favorite Firefox. Don&#8217;t have firefox? <a href="http://getfirefox.com/">Download it for free today</a>.

</p>
<p>
We&#8217;ve fixed the reporting issue with Internet Explorer, apparently IE doesn&#8217;t like to download Excel documents securely the same way it does when you&#8217;re on a non-secure connection. So, rejoice IE users! Reporting is back online!

      <title>SSL Issues &#45; FIXED</title>

        <p>UPDATE
</p>
<p>
After nearly 8 hours of back and forth with our registrar, including several sessions of finger pointing, the certificate issue has been resolved. One bit of silver lining from the last 24 hours is that in the chaos we upgraded our security package - just in case. Its not that we needed to, but the option was available and since we&#8217;re expecting large growth this next quarter following this week&#8217;s 3.0 rollout, we felt is was the right time.
</p>
<p>
Also, if you&#8217;ve been following the <a href="http://arstechnica.com/business/news/2009/10/t-mobile-microsoftdanger-data-loss-is-bad-for-the-cloud.ars">Microsoft/Danger personal data loss fiasco</a> (hopefully you weren&#8217;t one of those affected that lost all your data), we wanted to drop a note here and re-interate that all of your data for TicketstotheCity sales is backed up on a daily basis to two different locations. So, in the event of a database or hardware loss you won&#8217;t loose all of your sales information. Too bad Microsoft wasn&#8217;t interested in backing up their customer&#8217;s data with the same amount of care.

So last week our Secure Certificate was automatically renewed through our registrar, only today we discovered that they didn&#8217;t reissue the certificate. So, what does this mean? Well really nothing that will affect transactions, however your patrons might get a notice saying the site can not be validated, meaning the certificate is out of date.

We&#8217;ve been working all day to rush the certificate through re-certification - a process that normally takes two days - and we hope to have that annoying message removed by tonight when we have the new certificate in-place.

        <p>It has been a while since we&#8217;ve updated a requested feature - more on that in a minute, but more importantly our team has been busy working on the 3.0 release and squashing bus in the current system. I&#8217;m pleased to announce that version 3.0 has gotten over many of the hurdles facing its release for the last four months. These issues have mainly been due to the need to provide proof to credit card companies that our system is secure for third-parties to process credit card information via our new virtual terminal. We&#8217;ve finished our compliance testing and are looking forward to finally releasing our new version. We&#8217;ll keep everyone updated as we get closer to the release date.
</p>
<p>
Now, onto the updated feature! We&#8217;ve just added the option for you to specify multiple email addresses to receive sales notifications. This feature was already in version 3.0, but the wait to release the update caused us to migrate that feature to our current version. To update your notifications for multiple addresses simply go to your account settings. In the form find the Notification Email(s) text box. Separate each email address with a comma, i.e. test@example.com,test@gmail.com,test@internet.com

        <p>We had requests for many varying types of reports; small reports, big reports, reports that ride on bikes&#8230; you get the idea, that we decided to write our first featured article on the subject.
</p>
<p>
TicketstotheCity currently has the ability to generate the following types of reports (all downloadable in Microsoft Excel format - because the accountants love it):

<li>All ticket sales by date range</li>
<li>Event sales</li>
<li>Event sales by date</li>
<li>Overall ticket package sales</li>
<li>Specific ticket package sales</li>
<li>Overall donations</li>
<li>Donations by campaign, <i>and</i></li>
<li>Mailing list</li>
</ul>
<p>
Additionally the system includes a <i>reporting dashboard</i> that allows a quick view of the following sales information:

<li>Sales bar chart by month</li>
<li>Pie chart detailing the top ten selling events</li>
<li>Breakdown of sales numbers (profit and ticket numbers) showing sales numbers from today, this week, this month and year-to-date</li>
<li>A sortable grid that displays all of your sales by customer including a double-click feature to bring up each customer&#8217;s individual invoice</li>
</ul>
<p>
We&#8217;ll be going through how to use and read some of these reports/charts.
</p>
<h3>The Dashboard</h3><p>
When you first click on <i>Reports</i> from the control panel menu you&#8217;ll be taken to your reporting dashboard.&nbsp; As mentioned above this includes various information and snap-shots of your overall sales.&nbsp; At first most people&#8217;s attention moves to our sales chart:

As you can see the chart shows the previous 12 months of sales.&nbsp; This will include all ticket sales, ticket package and donations.

<i>Quick Tip:</i> If you use your mouse and rollover a month&#8217;s bar in the chart the total sales number popup.

Below the sales chart is our event sales pie chart, listing the top ten productions by sales numbers:

This is a live snap-shot of your ten best productions via ticket sales.&nbsp; Using this information can help your group identify any issues with your marketing plan.

<h3>The Sales Overview Grid</h3><p>
Only of the more versatile modules available on TicketstotheCity are the grid components.&nbsp; These allow you to quickly sort and find information just as you would if you were using a spreadsheet program like Microsoft Excel.&nbsp; The sales overview grid resides at the bottom of the dashboard and is initially sorted by purchase date (only fifty sales are shown at one time). If you want a more detailed view of the sale invoice simply double-click on the buyer’s name and their purchase information will open in a new tab. At that time, if needed, you can request a refund (<i>note:</i> sensitive customer data was removed from the screenshot below).

<h3>Excel Reports</h3><p>
At the beginning of this article we mentioned the various types of Excel-based reports you can run on TicketstotheCity.&nbsp; Below is a more in-depth description of each of those reports.
</p>

<b>All sales by date range</b> report is run by using the calendar widget (shown below) select a start and end date for your report to show all sales (tickets, packages and donations).&nbsp; All customer data is available: name, address, phone, email, purchase date, profitability and accounting breakdown.

<b>All ticket sales by date range</b> is similar to <i>all sales by date range</i> only this reports excludes ticket packages and donations.

<b>Event sales &amp; event sales by date</b> use the same form, but allow for two different kinds of reports.&nbsp; First, by highlighting an event from the list and clicking <i>Event Sales Report</i> an Excel document is downloaded containing all sales for the selected event.&nbsp; By clicking on <i>Sales Report by Event Date</i> a popup box will appear allowing you to choose the date of the performance you want to run a report for.&nbsp; This Excel document will only includes sales data for the date chosen and is a great way to double check sales with the box office.

<b>Overall ticket package sales &amp; specific ticket package sales</b> use the same form and allows you to run a specific report by selecting a ticket package and clicking <i>Sales Report by Package</i> or by clicking on <i>Report of All Package Sales</i> generate a report of all ticket package sales.

<b>Overall donations &amp; donations by campaign</b> works the same as <i>overall ticket package sales &amp; specific ticket package sales</i> noted above, but the reporting only includes data on donations.

<b>Mailing list</b> is a single report of customer data from all sales by your online box office and other group&#8217;s customers that have opted-in to the mailing list.&nbsp; <i>Please note</i> that you must agree to the terms listed in the form before being allowed to download a mailing list.&nbsp; This list can be used as a single opt-in list for services like <a href="http://www.constantcontact.com">Constant Contact</a> or <a href="http://www.campaignmonitor.com/">Campaign Monitor</a>.

        <p>Version 2.13 is now online, this minor update brings a new feature - the ability to now include additional information on your event purchase pages. This is an optional feature, but if you choose to use the new text area in your add and edit event forms your customers will see a new text box below the header image containing this information. For instance, perhaps you want to use this space to give your customers a description of the event, or to showcase a bio of a guest performer, or in the case of one recent theatrical production where in the actors threw peanuts at one another you might just want to give a warning, somthing like &#8220;Those who suffer from peanut allergies will be seated behind the first five rows.&#8221;

        <p>As a peek into what we&#8217;re bringing to TicketstotheCity over the next month here is a list of features currently being cooked up in our lab:

<h3>Criteria-based Discounts</h3><p>
Continuing with our discount theme we&#8217;re working on offering you the ability to specify discounts based on a number of different criteria. For instance, say you want to offer discounts, but only if the customer is purchasing 10 or more tickets? No problem! With the upcoming new discounts all you&#8217;ll need to do is specify the new discount, base it on ticket quantity and enter a discount amount (monetary or percentage).
</p>
<h3>How did you hear about us?</h3><p>
This one was actually on our list for last month, but critical updates and mantience got first priority. In fact, you can see the beginnings of this feature if you click on account settings at the top right corner of this window. Basically this feature will allow you to generate a drop down list of options a customer can select to inform you as to where they heard about your group (i.e. Yellow Pages, Mailer, GuidetotheCity, etc). Currently the box in your account settings only stores information we have yet to enable the drop down on the checkout page.

        <p><b>UPDATED:</b> If a ticket price is set to $0 it is hidden on the purchase page.&nbsp; This is helpful considering the following scenario:
</p>
<p>
Your group&#8217;s production has performances every Friday, Saturday and Sunday each offering an Adult and Senior priced ticket.&nbsp; However, on the Thursday before the production begins you offer a special Preview of the upcoming show to VIPs, there is only one ticket price for this &#8220;first night&#8221; and you call it First Night.&nbsp; To handle this you can now create three ticket prices when creating your venue: Adult, Senior and First Night.&nbsp; By setting the First Night ticket price to $0 you ensure all of the performances for your event only show the Adult and Senior prices.&nbsp; Next you would edit the one-time Thursday performance and set the actual price of the First Night ticket while setting the Adult and Senior prices to $0 to hide those options from your customers for that single performance.
</p>
<p>
<b>UPDATED:</b>  If a customer has zero items in their cart the checkout page no longer shows the billing form, only a message stating their cart is empty.
</p>
<p>
<b>ADDED:</b>  Status setting for Events, Event Dates, Ticket Packages and Donation Campaigns.&nbsp; This allows you to prematurely close ticket sales.&nbsp; You will find the new setting on each form (add and edit).
</p>
<p>
<b>ADDED:</b>  Special Instructions.&nbsp; A customer can now convey any special instructions to your group via a new text box on the checkout page.&nbsp; These instructions (optional) will be visible on your notification email as well as the invoice page on both the account.ticketstothecity.com backend  and buy.ticketstothecity.com.
</p>
<p>
<b>ADDED:</b>  Report of ALL sales by date range.&nbsp; You can now run a report of all sales (tickets, packages and donations) by date range in the Reports section.
</p>
<p>
<b>BUG FIX:</b>  Modifying a venue section per event date.&nbsp; There was a bug that affected Internet Explorer that upon editing multiple sections for the same date would cause the second - last tabs opened for editing become blank.&nbsp; 
</p>
<p>
<b>BUG FIX:</b>  When deleting a ticket price the Ticket Pricing Overview grid now properly reloads and shows the current ticket pricing available.

<b>BUG FIX:</b>  Packages Purchased List now shows customer purchases properly.

<b>BUG FIX:</b>  Package restrictions now show up below the package information in the purchase page.

<b>BUG FIX:</b>  Link to the main box office page no long shows up on the main box office page.

<b>BUG FIX:</b>  Previously some customers confused the field asking for the name on their credit card with the name OF the credit card (i.e. Visa MasterCard, AMEX, etc.).&nbsp; This caused some reports to list the name of the person making the reservation the same as the credit card type used to make the purchase.&nbsp; We&#8217;ve added a check for this and added a custom error message explaining the proper name to use in the checkout form.&nbsp; We&#8217;ve also clarified the text explaining what information is to be provided from &#8220;Name on the card&#8221; to &#8220;Your name on the credit card.&#8221;  
</p>
<p>
<b>BUG FIX:</b>  When updating account settings and the view header image tab is not opened the system attempted to update the non-existant tab and caused an error.
</p>
<p>
<b>BUG FIX:</b>  Certain versions of Internet Explorer were inserting extra, invisible, characters at the end of text entered into text boxes.&nbsp; These invalid characters were causing a failure when loading information to edit and has been corrected.

        <p>We were in the middle of performing upgrades this afternoon and the server&#8217;s memory tripped causing a slight downtime. If you tried to login or buy tickets at that time you were either unable to bring up the page or given an error message due to the DataBase being offline.         <p>We have a new addition to the system - the overview page. At the top right corner you&#8217;ll notice a new link labeled &#8220;main overview&#8221;, this link will take you to your group’s overview page containing links to all of the events, ticket packages and donation campaigns currently available. You can use this link in your website and mailers to help direct people to all of the offerings your group provides via TicketstotheCity.

A few bug fixes and added details with this update:

<li>Your refund policy addendum now appears above the general policy and will now be viewed properly on the final checkout page.</li>
<li>The coupon code box on the checkout page will only be shown if your group has set a valid coupon code.</li>
<li>In conjunction with the addition of the new overview page the header image on the purchase page now links back to the overview page.</li>
<li>A link back to the overview page has been added to the left of the TicketstotheCity logo at the top of each purchase page.</li>
<li>Invoices in the reports section now properly show event details.</li>
